School Office Assistant

The School Office Assistant role includes reception duties, pupil and teacher support and general administration for the school and leadership team. The position is suited to a person who enjoys multi-tasking, is highly organised, and will thrive in an energetic school environment. This is a front-facing role with parents and prospective families. The ideal candidate is well-presented, positive, and responsive. 

 

Main Responsibilities:

Communication 

  • Responsible for communication with the parents including day to day correspondence and notifying/reminding parents of any special events 
  • Answer daily phone calls in a polite, efficient and friendly manner and redirect as required 
  • Greet visitors and accept deliveries 
  • Assist with the practical organisation of school events 
  • Contact outside organisations as necessary (building repair, lunch providers, club teachers, et cetera) 
  • Coordinate virtual and in-person meetings for the Headteacher and teachers 
  • Ensure the school website is up-to-date 

 

Administration 

  • Maintain all pupil files and keeping parent contact information up-to-date 
  • Manage day to day school activities such as lunch orders and extra-curricular activities 
  • Manage office supply inventory and advise on purchases where needed 
  • Day to day monitoring of attendance by use of iSAMS-based registration module 
  • Assist in preparing and distributing policies and official documents to teachers and leadership as required 

 

General 

  • Provide first aid response to pupils and administer medicine when necessary 
  • Occasionally assist in playground or lunch duties in case of staff absence 
  • Attend, where appropriate, whole school events 
  • Ensure all students have equal opportunities to learn and develop 
  • Be aware of and comply with all school policies and procedures including child safeguarding 
  • Attend relevant meetings as required 
  • Participate in training and other learning activities and performance management as required 

 

Requirements:

  • Experience working within a busy school or nursery environment, preferably an international or private school 
  • Ability to multi-task in a fast-paced environment 
  • Excellent communication skills with colleagues, parents, and pupils 
  • Excellent IT skills and mastery of Word, Excel, and Powerpoint 
  • Fluent mastery of English; ability to communicate in French or Dutch is a plus 
  • Legal working and residential permission in Belgium (no visa sponsorship is available for this role)
